Send a flyer with an entry form out to all clubs within your region and
perhaps neighboring regions. Mail flyers and entry forms to individual
dog owners. It is very advisable to mail one package very early and another
one about 4 weeks before the show. If your region has a website, take advantage
of it. You also might think about an advertisement in our magazine.

Ring Steward/Helpers:
The ring steward keeps control in the ring and assists the judge in
anyway requested. It is his/her responsibility to have the participants
for each class line up in the ring in the same order as the numbers in
the catalog. The ring staff also make sure that handlers do not change
their placing unless the judge tells them. In general one or two
helpers are sufficient to keep the ring |
Show Secretary:
The show secretary is the person that guarantees a fluent event. It
is absolutely necessary that this person is familiar with all show requirements
and procedures. The local club breed warden should take this job. Get familiar
with the show regulations as established by USA. Check the USA website.
The show secretary is responsible for the correct paperwork and recording
records for the judge and USA. The secretary’s duties include the
following:

Create and mail show flyer with entry form.

Make sure the handler bibs are in order and good condition.

Organize the entries either by using a box and filing system or in
a 3-ring notebook with sheet protectors for each entry.

Complete the catalog and have enough copies made.

Generate the check-in sheet.

Compile the entry packets.

The day of the show, the secretary mans the check-in table.

Make sure the show starts on time and runs smoothly.

Record the ratings on the show cards and the results of the class
in the official catalogs as the classes finish.

Make sure the judge signs all the show cards before they are given
out.

The secretary and the judge must sign all entry pages of the catalog.

Double-check all paperwork before sending it into the USA office.

as you receive the entries so that only the rating of the individual
dog needs to be filled in on the day of the show. The show card number
and the catalog number of the entered dog must be identical. Once the final
placings have been announced for each class, the show secretary should
have the cards marked with the ratings and in final placement order for
the judge to sign. (Refer to the USA website for a list of ratings
that are awarded at a show.) The cards are then handed out during
the award presentation at the end of each class. Show cards can be
ordered from the USA office or created accordingly by you. Make sure that
all necessary information is included. It is also a good idea to have enough
extra, blank cards on hand for "day of show entries" and any mishaps.
Catalog:
Create your own catalog with advertisements, greetings from your club
president, regional director, regional breed warden, a list of sponsors,
the schedule of events, and an index of exhibitors. The cover of the catalog
should include the date and location of the show, the name of the judge,
and the name of the hosting club. The classes in the catalog should be
listed as followed:
Working Class Males
Working Class Females
Young Dog Males 18-24 mos.
Young Dog Females 18-24 mos.
Youth Dog Males 12-18 mos.
Youth Dog Females 12-18 mos.
Adult Class Males 24+ without title
Adult Class Females 24+ without title
Senior Puppy Class Males 9-12 mos.
Senior Puppy Class Females 9-12 mos.
Junior Puppy Class Males 6-9 mos.
Junior Puppy Class Females 6-9 mos.
Baby Puppy Class Males 4-6 mos.
Baby Puppy Class Males 4-6 mos.
Start with the number "1" for the first dog entered in the working class
males. For example, if you have 15 dogs entered in the working class males,
save some numbers for late entries and start with number e.g. 20 for the
working class females and so on. . The catalog number and the show card
number of the entered dog must be identical. |
